Property & Cancellation Policies
We understand that plans can change, and we do our best to be as fair and flexible as possible while balancing the unique logistics of operating a remote mountain resort. Due to the unpredictable nature of weather, wildfires, and life in general, we strongly recommend purchasing travel insurance to help offset the cost of last-minute cancellations or changes.
Standard Cancellation & Change Policy
- 90+ Days Before Arrival: A full refund will be issued minus a $100 cancellation fee (per lodging with amenities) or $20 cancellation fee (per lodging without amenities). Changes can be made with no penalty.
- 3–90 Days Before Arrival: A $100 cancellation/change fee (per lodging with amenities) or $20 cancellation/change fee (per lodging without amenities) applies and the deposit remains on file for one calendar year from date of issue and may be used one-time only towards a new lodging reservation. No refunds will be issued.
- Within 72 Hours of Check-in time (4pm) on Date of Arrival. All payments and deposits are forfeited and cannot be refunded or applied to a future stay.
- Marina, Snowcat, and Snowmobile Reservations:
- Cancellations made 3+ Days Before Reservation Date: A full refund will be issued.
- Cancellations or changes made 3 Days or Less Before Reservation Date: All payments and deposits are forfeited and cannot be refunded or applied to a future reservation.
Winter Policies:
- Meals: If you are staying with us on a Friday, Saturday, or Sunday night we require dinner on that respective evening, plus breakfasts on Saturday and Sunday. Meals are served family-style, added to your folio, and paid at checkout (gratuity optional). Weekday meals are the responsibility of our guests; cabins have full kitchens. Please tell us dietary needs 72+ hours before arrival.
- Snowcat Reservations: Our lodge sits 11 miles from Dutchman’s Flat Sno-Park near Mt. Bachelor and can be reached only by snowcat, snowmobile, or cross-country skis. Once you book your stay, guests are required to make a separate snowcat transport reservation (unless you’ll arrive by ski or sled). Transport is billed separately.
- Weather & Operational Issues: If we have arranged your snowcat transport and we are unable to get you to the Resort within 24 hours of your scheduled check-in time due to weather or other operational issues, you will have the choice of rescheduling your overnight accommodations or receiving a full refund.
Summer Policies:
- Air Quality Policy: If AQI (as monitored by the resort monitor) is over 200 within 24 hours of check in time (marina rentals, lodging, campsites, etc) we will issue a full refund upon request.
